Privacy policy
What personal data Dot handles, why, and the choices you have.

Who this policy covers
This policy explains what personal data Dot handles and why. It covers two groups of people.
If you have a Dot account, we decide how your account data is used, and this policy describes that.
If you wrote to a business that answers with Dot, that business decides how your messages are used. We handle them on its instructions. Its own privacy notice applies, and it is the first place to ask about your data.
What we collect
Account data: your name, email address, sign-in details, your company's name and the billing details that appear on invoices.
Conversation data: the messages and voice notes customers send to a business through Telegram or website chat, the replies, and the identifiers those channels provide, such as a Telegram name or a phone number the customer shares.
Knowledge: the documents, FAQs and web pages a business adds.
Technical data: IP addresses, browser type and logs of what happened when, which we need to run and protect the service.
How we use it
We use this data to provide Dot: to answer customers, show conversations to the business's team, send invoices, give support, and keep the service secure and working.
We do not sell personal data, and we do not use it for advertising.
Who we share it with
To write an answer, the assistant sends the relevant messages and knowledge to the AI model provider chosen for that workspace. Phone numbers and account numbers are masked before text is sent to a provider.
We also use providers for hosting, email, payments and voice transcription. They receive only what they need for that work. Ask us for the current list.
We disclose data when the law requires it.
How long we keep it
Each business chooses how long closed conversations and voice notes are kept. When that time is up they are deleted automatically.
Deleted data is removed from live systems immediately and from backups within 35 days.
Account data is kept while the account is open. Invoices are kept for as long as tax law requires.
Your choices and rights
You can ask for a copy of your personal data, ask for it to be corrected, or ask for it to be deleted.
If you are a customer of a business that uses Dot, ask that business. It can download or delete everything about you from its dashboard. You can also write to us and we will pass your request on.
If you have a Dot account, change your details on the Account page or write to us.
Cookies
The dashboard uses cookies only to keep you signed in and remember your settings. The chat window on a business's website stores an anonymous identifier in the visitor's browser so a conversation can continue on the next visit.
We do not use advertising cookies.
Security
Each company's data is kept in its own separate workspace. Connections are encrypted, and so are the channel credentials a business stores with us. Access by our own staff is limited to what support and operations need.
No service is perfectly secure. If a breach affects your data, we will tell you without undue delay.
Changes to this policy
We may update this policy. When a change matters, we will tell account holders by email or in the dashboard before it applies. The date at the top of this page shows the latest version.
